Job Summary:

Provide EA / PA and administrative support for Senior UK Managers based at our Eton or Windsor offices.

Responsibilities

    • The position requires a proactive self-starter who can anticipate the needs of not only the Senior Managers but also his/her entire staff
    • Provide PA support to the UK Management including but not limited to; extensive complex diary management, monitoring incoming correspondence, screening calls, collating expenses on a monthly basis, collating monthly report data
    • Coordinate travel bookings for the and provide booking assistance to Executives/Senior Management visiting the UK office as necessary
    • Organise meetings and conference calls both internal and external
    • Excellent communication skills in typing memos or letters and being in contact with other executive level Managers
    • Participate in company meetings and take minutes as required
    • Provide on-site/off-site support to customer meetings, seminars, training events, book and prepare meeting rooms, make tea/coffee, order and prepare lunches
    • May be asked to organise internal company events as directed but not limited to Christmas Party, Summer Social, team building events
    • Provide additional cover for other administrative staff during absences or when assisting with specific projects
    • Raise purchase orders and quotations / check invoices as necessary
    • Assist in the organisation/coordination of UK Sales Meetings and Company events
    • Act on behalf of the Managers as a liaison between internal departments, offices and clients.
    • Provide assistance when they are travelling.  This may include checking voice mail, telephone calls and messages
    • Maintain and update reports and databases as necessary
    • Provide additional/flexible support to the ASG Supervisor and Admin Team as requested
    • Other responsibilities assigned by the HR Manager

Qualifications

Software Skills

 

  • Intermediate to Advanced Microsoft Word, Excel and PowerPoint skills.  Advanced knowledge is especially useful when working on complex  presentations (PowerPoint)
  • The diary system we use is Microsoft Outlook
