Contract Resource Coordinator

Overview

We have an opportunity for Contract Resource Coordinator, ideally with some previous resourcing experience, to join our UK team and manage the process for our project Contractors.  Working closely with the Project Management Office (PMO), the post-holder will be responsible for organising and coordinating contractor resource in order to support the effective delivery of our projects. The Contract Resource Coordinator will liaise with external Agencies and internal departments to ensure the necessary paperwork is completed in good time for the Contractors start date or renewal date.  You will be responsible for ensuring the correct approval process is followed and that information is accurately documented. This will include raising Purchase Orders, requesting Statement of Works (SoW) and ensuring our Master Contract Agreement (MCA) is signed by Agencies/Suppliers.  The role is based at our office in Eton, Berkshire. 

Responsibilities

  • Liaise with hiring managers regarding new requirements or extensions to contracts allowing sufficient time for approvals to be sought
  • Raise purchase orders for new contractors or to extend existing contractor engagements in line with ISC requirements and ensuring sufficient expenses are included when necessary
  • Request and track purchase order approvals and send final PO details to agency
  • Coordination and verification of contractor paperwork for hiring managers including Statement of Works, MCA (contractor agreement) and Non-Disclosure Agreement prior to commencement and in line with ISC legal requirements
  • Assist hiring managers with queries relating to new contractors, contractor extensions or terminations in Workday
  • Notify hiring managers when a contractor is due to be terminated
  • Liaise with the ISC legal and HR team to manage any queries relating to the SoW or MCA
  • Notify HR and Finance of new contractors, contractor extensions and end dates
  • Ensure contractors submit their time in U-Plan on a weekly basis and follow-up where necessary
  • Call-off time worked against contracted hours
  • Ensure no contractors are working without PO coverage unless with explicit permission from senior management that they are working at risk
  • Manage 3rd party suppliers/agencies with regards to queries relating to contractors, hours worked or invoices
  • Liaise with Project managers and provide the point of escalation where there are disputed hours being logged by contractors
  • Manage supplier/agency invoices and deal with discrepancies
  • Negotiate agency rates to ensure they are in line with industry standards
  • Check all contractor expenses are in line with the ISC expense policy
  • Carry out contractor site inductions and familiarisation of key internal policies, procedures and systems. Maintain effective communication and provide updates as necessary.
  • Attend and participate in team meetings as required.
  • Set up contractors on the (insert) systems and provide training as necessary.
  • Ensure contractors have the appropriate site access and security clearance.

Qualifications

  • Previous experience working in a resourcing role within a technology environment is highly desirable;
  • Experience of process management;
  • Strong administrative skills and highly proficient in all MS packages;
  • Experience of effectively managing and coordinating finite resources, often within short timeframes;
  • Excellent planning, organisational and time management skills with the ability to prioritise and manage time effectively and work to tight deadlines;
  • Practically minded with excellent problem solving skills, but understands when to escalate issues;
  • Excellent communication skills both oral and written, with the ability to articulate an opinion effectively;
  • Excellent interpersonal skills, the ability to work cross functionally and interact confidently with multiple stakeholders;
  • A self-starter with the ability to work independently with minimal supervision;
  • Robust and resilient in approach - the confidence to challenge 'push back’ when needed as well as the ability to work calmly under pressure;
  • Team player - understands the importance of individual as well as team contribution;
  • An understanding and/or appreciation of new and emerging technologies if highly desirable.
  • Ideally educated to degree level (or equivalent), or another project management qualification is highly desirable.
