ASG and Facilities Supervisor

Overview

InterSystems Australia subsidiary seeks an experienced and motivated Administrative Services and Facilities Supervisor to provide high quality service and support to busy offices within Australia, based in Sydney. The role will be challenging, diverse yet rewarding. The Administrative Services and Facilities Supervisor will play a key role in ensuring strong lines of communication and consistency between other Global offices and corporate headquarters in Boston.

Responsibilities

Key Accountabilities:

  • To manage and provide direction to direct reports.
  • Oversee all administrative support including coordinating meetings, conference calls, Video Conferences, International and Domestic travel (including Visa applications, accommodation, car rentals and flights), expenses, Company vendor reconciliation, Company presentations and tenders submissions
  • Event management e.g. Monthly Company updates, seminars, symposiums and social events.
  • Other responsibilities assigned by the HR Asia Pac Manager, Local Management Team, and visiting senior executives
  • Oversee all facilities maintenance and other projects for office improvement
  • Supervision of day-to-day and extra-ordinary maintenance activities in the Sydney office
  • Responsible for Work Health & Safety in ensuring that requirements are met and that all documentation is in place and kept current
  • Coordinate WHS training as required with local regulations
  • Build strong relationships with all third party vendors and negotiate service level agreements, as required
  • Provide regular reporting as directed

 

Duties:

 

The following list of duties is indicative of the nature of the post.

 

  • Supervise a team of administrators spread across more than one geography
  • Maintain the team responsibility matrix, ensuring all stakeholders have adequate support and coverage at all times
  • Responsible for accurate data entry into Human Capital portal of Australian staff movements including coordination via direct reports
  • Participate in all new hires to the Australian business ensuring Work Health & Safety policies are covered and acknowledged
  • Preparation of internal documentation for example purchase orders for approval
  • Co-ordinate Monthly Company Updates including scheduling, PowerPoint coordination and preparation
  • Overseeing all company Travel ensuring the processes being followed in accordance with the company policy and being the point of contact for any travel related issues
  • Managing Events – conferences, product launches, social events
  • Coordination of production of all office stationery
  • Provide local assistance to visiting senior executives
  • Responsible for all office related announcements
  • Maintenance of internal directories including online telephone directory and all floor plans
  • Provide real time guidance to all direct reports
  • Completing appraisals for your direct reports in line with internal deadlines

Qualifications

  • At least 5 years experience as an Office Manager/EA in a corporate environment
  • Strong organisational, interpersonal and written communication skills.
  • Experience with managing a team and achieving results
  • Be an exemplary role model for direct reports and lead by example
  • Organised and enthusiastic are the key words, autonomy and adaptability are critical
  • Ability to work effectively in a “team” environment.
  • Abiility to work with a fast paced Management Team
  • Ability to work flexibly  
  • Excellent attention to detail, proof reading and grammatical skills.
  • Advanced Microsoft Office - Word 7.0, Excel, PowerPoint, Outlook
