The role of the Administrative Assistant is to provide a high quality administrative service to the internal and external customers of the region and ensure that good communications exist between the Benelux office and other global offices. The Administrative Assistant will support the Administration, Sales and Marketing departments and across a wide range of Admin functions whilst at all times maintaining the professional standards as required of this role.  The role reports into the Office Manager in Belgium.

 

Responsibilities

Provide Administrative support to the Sales, Marketing and Administration departments:

 

  • Sales and Marketing
  • Follow up and update the databases
  • Contact point for local users (Super User)
  • Prepare mailings in collaboration with the Marketing Manager
  • Unlocking the databases via SQL and cross-reporting
  • Help create and follow-up on the Sales budget (check between systems)
  • Input and update data in client files
  • Archive invoices

 

  • Request Document approvals from Sales, Customer Operations, Legal
  • Support Sales, ensuring the correct procedures are followed
  • Assist in the preparation of Sales Tender documents and Sales Reports
  • Produce POs
  • Ensure Supplier invoices are checked, approved and sent to Finance for payment

 

  • Manage Customer relationships, communicating by phone and email;
  • Prepare and follow up on orders
  • Follow-up late payments
  • Set up appointments for Sales

 

  • Facilitate logistics for Training, Seminars and Events:
  • Book venues
  • Prepare training materials
  • Prepare meeting rooms for events and training
  • Organise internal company events
  • Follow up order forms and billing

 

  • Manage contracts;
  • Main contact between Legal and Sales Department for customer contracts

 

  • Administration:
  • Travel: Reservation of taxis, flights and hotels
  • Expense claims
  • Scan business cards and verify contact details in our database
  • Provide Reception and Admin cover when required
  • Manage adhoc tasks and projects

 

Qualifications

  • Excellent knowledge of Dutch, French and English
  • Strong verbal and written communication skills
  • Very helpful and flexible
  • Customer oriented
  • Strong in administrative tasks and work accurately and independently
  • Strong MS Office skills in Word, Excel and PowePoint
  • 2 to 3 years professional administrative experience within an office environment
  • Present a professional manner
  • Preferably a Bachelor’s degree or equivalent, or qualified by experience
