Executive Assistant

Location AE-Dubai


We have an opportunity for an experienced Executive Assistant to join our team in the Dubai office. You will be provide administrative support to the Regional Managing Director. You will be highly organised and able to ensure the smooth and efficient running of the office each day.




  • Act as a business support for the Regional Managing Director by preparing reports, presentations…etc.
  • Raise purchase orders and quotations / check invoices as necessary
  • Excellent communication skills in typing memos or letters and being in contact with other executive level Managers
  • Maintain and update reports and databases as necessary
  • Organise meetings and conference calls both internal and external
  • Provide PA support to the Regional Managing Director including but not limited to; extensive complex diary management, monitoring incoming correspondence, screening calls, collating expenses on a monthly basis, collating monthly report data
  • Coordinate travel bookings (domestic and international) for the Regional Managing Director and provide booking assistance to Executives/Senior Management visiting the UAE office as necessary
  • Provide additional cover for other administrative staff during absences or when assisting with specific projects
  • The position requires a proactive self-starter who can anticipate the needs of not only the Regional Managing Director but also his/her entire staff
  • Participate in company meetings and take minutes as required and follow up on actions as well.
  • Act on behalf of the Managers as a liaison between internal departments, offices and clients.
  • Provide assistance when the Regional Managing Director are travelling.  This may include checking voice mail, telephone calls and messages
  • Provide additional/flexible support to the Office manager and Admin Team as requested
  • Other responsibilities assigned by the Office manager


  • At least 5 years experience as an Executive Assistant/Senior Administrator in a fast-paced, company start-up, sales environment.
  • A university degree in business adminstartion or similar field.
  • Excellent speaking/ writing Arabic and English language is a must
  • Superior communication skills complemented by high standards of work and presentation.
  • You will be able to build excellent working relationships with stakeholders. 
  • You must be self-motivated, possess good planning skills and demonstrate high attention to detail.
  • A flexible, well organised team player with strong problem solving skills, often working under pressure while maintaining accuracy. 
  • Advanced skills in Microsoft Word, Excel and PowerPoint and proven experience in an administration position within a corporate environment.
  • Qualifications in Office / Business Administration will be highly regarded.
