    We have an opportunity for a PA to provide administrative support for the UK teams, and occasional support to the implementation team. 

    Responsibilities

    • PA support to senior managers based in the Edinburgh office as required including travel, arranging meetings, diary and inbox management
    • General admin support to a large implementation and project team including organising travel, hotel and taxi bookings through a dedicated travel agency
    • Ad hoc support to visiting UK and non-UK senior executives
    • Management of documentation on SharePoint, including action tracking and follow-up
    • Creating and editing PowerPoint presentations
    • Facilitating and attending internal and external meetings; taking accurate minutes and following up on actions that may arise
    • Assisting with the organisation and set up of meetings including preparing refreshments
    • Event support at annual Healthcare event, working closely with Marketing department
    • Arranging ad-hoc meetings, sometimes off-site, including organising catering
    • Raising purchase orders
    • Weekly tracking and recording of staff locations
    • Tracking team travel and approval of invoices
    • Ad-hoc project support
    • Reception cover for full time receptionist during breaks/holidays etc. (shared with rest of Administrative Services Group (ASG))
    • General support as part of ASG team
    • Provide additional cover for other administrative staff during absences or when assisting with specific projects and ad-hoc tasks
    • Assist in the organisation/coordination of company events
    • Ordering stationery and supplies for the office
    • Facilities
    • Maintenance of Confluence page
    • Ad hoc projects

    Qualifications

    • Previous PA experience, preferably in an international company
    • Experience of reporting into multiple managers   
    • Strong administration, planning and organisational skills
    • Good written and oral communication
    • Ability to produce accurate and professional written documentation including accurate minutes
    • Self-starter who can be proactive and forward thinking but can also react quickly to urgent situations
    • Good working knowledge of MS Word, Excel, Outlook, and PowerPoint
    • Knowledge of SharePoint, Concur and advantageous
    • Ability to multi-task
